Welcome back to "The CSM Corner"! This month, we're excited to dive into a powerful new tool that will revolutionize how you understand and optimize your phone interactions: enhanced call data analysis.
The Evolution of Call Tracking
For years, we've provided call tracking to help you understand the volume of calls coming through your Work Truck Solutions numbers. However, we're taking this a step further.
We've implemented cutting-edge AI technology to analyze the context of your calls, providing much deeper insights than basic keyword spotting.
What Does This Mean for You?
Instead of just knowing that a call came in, you can now understand what that call was about. The AI categorizes calls into meaningful categories, including:
Sales Lead: Clear intent expressed by the caller to inquire about purchasing a vehicle.
Super Lead: A sales lead where the caller specifically mentions needing multiple vehicles - obviously a high-value opportunity.
Sales Follow-up: Someone calling back regarding an ongoing sales discussion.
Dealer Trade: Calls specifically about facilitating a dealer trade.
Service Call: Inquiries related to the service department.
Abandoned Call: Calls where the caller hangs up after the call is answered (by a person or system) but before a meaningful conversation happens, often within the first 15 seconds. We started specifically categorizing these shorter abandons around the end of March/start of April.
Unanswered Call: Calls that ring but are never picked up by your dealership.
Busy Signal/Mailbox Full: We can even flag calls that hit a busy signal or a full voicemail box, indicating potential phone line or capacity issues.
Other: General inquiries, wrong numbers, spam, etc.
Unlocking Powerful Insights
This enhanced data empowers you to:
Optimize Call Handling: Identify issues like long ring times, frustrating phone trees, or high abandoned call rates that may be costing you leads.
Refine Lead Evaluation: Gain a clearer picture of the quality of your phone leads and calculate your true ROI from Work Truck Solutions.
Proactively Address Issues: Detect problems like busy signals or full mailboxes promptly, minimizing lost opportunities.
Improve Customer Experience: Streamline your call handling to provide a better, faster experience for your commercial buyers, who often don't have time to waste.
Accessing the Data
All this valuable information is available in a new, detailed report. It allows us to filter by date (keeping in mind full categorization started around April 1st), by source (like your WTS site vs. Comvoy vs. OEM locator), and by these specific call categories.
The report provides summaries of why a call was categorized a certain way, a brief synopsis of the call, and even direct links to the audio recordings, so we can easily investigate patterns or specific instances together. We can also export this data if needed.

How long has DuPratt Auto Group been serving the community?
Peter: Dupratt Ford has been in business since 1956 and in more recent years have expanded to Vacaville and Auburn CA.
What is DuPratt Auto Group’s favorite way to give back to the local area?
Peter: We give back in lots of ways like youth sports team sponsorships and hosting DUI checkpoints for local law enforcement around holidays but our favorite is working with the county's education department where we created a program within high school auto shop classes where students can job shadows departments within our store and then apply for a paid internship at our dealership.
What is your role at the dealership?
Peter: I am the General Manager over the dealerships.
How has Work Truck Solutions helped you in your role?
Peter: WTS has brought our commercial department to the next level by truly merchandising our inventory in a way that makes it easy for the customer. The upfits are finally showcased to be as important as the chassis, the way it should be.
What's your favorite thing about working with commercial trucks?
Peter: WTS is on a very different wavelength when it comes to dealership vendors. They take a proactive role in our store by constantly supporting us and checking in. They listen to dealer feedback and take action on it.
What's one piece of advice you would like to give customers?
Peter: A piece of advice for customers is that "You vote with your dollars, spend them somewhere you find a dealership that understands your company's challenges first and then has solutions for them second."
Would you recommend Work Truck Solutions to other dealerships? Why?
Peter: I already constantly refer dealers to WTS. The WTS website allows us to separate and elevate our commercial side of the business rather than it being an after thought. A professional website to draw in lots of traffic from Google and Bing.
Meet Alex! This guy's all about staying active – you'll usually find him at the gym keeping fit. But it's not all about workouts; Alex also loves just hanging out with his friends in the great outdoors. Big news on the home front? He recently became a super proud cat dad to Walker, a one-and-a-half-year-old bundle of playful energy (and probably a bit of mischief!). As May draws to a close, we approach Memorial Day on May 26th, a solemn occasion to honor the brave American soldiers who made the ultimate sacrifice. While many will thoughtfully visit cemeteries and memorials, this holiday also marks the unofficial start of summer, a time for firing up the grill and enjoying the simple pleasures of community, perhaps even with the opening of local pools.
